GDPR stands for The General Data Protection Regulation. It is a regulation that governs the collection, use, processing, and storage of personal data. Why do you have my data?

Your data is connected through one of the following four avenues:

Direct Submission – This occurs because you have submitted your information to us and ticked a box to confirm your consent for us to store your data in accordance with the GDPR. This could be via job application, CV uploads, contact forms, or account registration.

Automated collection – this occurs via cookies and similar technologies on our website and will be based on the consent level chosen at the point of acceptance.

Third Parties – This happens via job boards, recruitment agencies, or referral sources, in consideration with appropriate consents.

Public Sources – Professional networking sites such as LinkedIn where information is publicly available.

 

What data do you collect?

We collect and process the following categories of personal data:

Job Applicants & Candidates – Identity information, contact information, professional information, application data, technical data, and communication records.

Website Visitors – Technical data, usage data, and marketing data.

Client Representatives – Business contact information, account information, and communication records.

 

How do you store my data?

Your data will be stored on our server and within our Applicant Tracking System, both of which are fully secure. In addition to this, we use analytical tracking software to improve your user experience.

 

Will my data be shared?

We will never sell personal data to third parties for marketing purposes. We may have need to share personal data with Internal and External recipients in order to ensure functionality works correctly and efficiently.

– Client Companies: When you apply for their roles (with your explicit consent)

– Job Board Partners: When posting your details to job boards (with consent)

Service Providers:

– Cloud hosting providers (AWS, Microsoft Azure)

– Email service providers (MailChimp, SendGrid)

– Analytics providers (Google Analytics – anonymised data only)

– CRM and database providers

– Professional Advisers: Lawyers, accountants, auditors

– Regulatory Bodies: When legally required

 

International Data Transfers

Some of our service providers may process data outside the UK/EEA. Where this occurs, we ensure adequate protection through:

Adequacy Decisions: Countries deemed to have adequate data protection

Certification Schemes: Providers certified under recognized schemes

 

Can I delete or change my data?

You may at any time request the right to be forgotten. Please contact us if you would like your details and associated records removed from our systems, and we will notify you once this has happened.

Similarly, if you wish to make any changes to the data we hold about you then get in touch and we will make the relevant changes for you.
Changes made to data, or the removal of data will be logged by our system for audit purposes.

 

How can I see what information you have about me?

You have the right to access any data that we hold about you. You may submit a request to access this data verbally, electronically or in hardcopy. All data that you have supplied, such as your CV, application forms, and any recruiter notes and comments will be made available to you free of charge. The system will log the event for audit purposes.

 

How do I opt-out or unsubscribe from receiving emails?

You can unsubscribe from receiving emails at any time by clicking the ‘unsubscribe’ link which appears at the bottom of every email.

 

Legal Basis for Data Processing

We process personal data under the following legal basis:

Consent (Article 6(1)(a)): Marketing communications (where consent is given), non-essential cookies, processing CV data from job boards where consent is the appropriate basis.

Contract Performance (Article 6(1)(b)): Processing job applications, managing the recruitment process, providing our recruitment software services to clients.

Legitimate Interests (Article 6(1)(f)): Improving our services and website functionality, security monitoring and fraud prevention, business development and analytics, communication with existing clients about service updates.

Legal Obligation (Article 6(1)(c)): Compliance with employment law requirements, tax and accounting obligations, regulatory compliance.

 

Use of AI-Assisted Screening

When you apply for a role through a career site powered by LogicMelon, your CV and application may be assessed by an AI system to generate a suitability score, candidate summary, strengths, and gaps. These outputs are made available to the recruiting employer to assist in reviewing applications and may influence which applications are progressed.

This processing is based on Legitimate Interests (Article 6(1)(f) UK GDPR). The AI functionality is powered by Microsoft Azure OpenAI Service. Data is processed within the UK and EU under Standard Contractual Clauses, and Microsoft does not use your data to train its AI models.

You have the right to request human review of your application, express your point of view, or contest an AI-assisted decision. As the recruiting employer is the data controller for your application, these rights should be exercised with them directly.

Updates to this policy

We may update this privacy policy to reflect changes to the laws and regulations, changes to our processing activities, and improvements to our privacy practices. If changes are made we will update the ‘last updated’ date at the bottom of this policy. In the event of significant changes, we will notify you by email or prominent website notice.

Continued use of our services constitutes acceptance of updates.

 

California Consumer Privacy Act of 2018 (“CCPA”)

 

About this Privacy Notice

Pursuant to the California Consumer Privacy Act of 2018 (“CCPA”), Logic Enterprices LLC. and the Logic Enterprises companies in scope of the CCPA (“LogicMelon,” “we,” “us” or “our”) are providing this California Consumer Privacy Act Notice (“CCPA Notice”). This CCPA Notice supplements our Privacy Policy and applies solely to California consumers, effective January 1, 2020. Terms used but not defined shall have the meaning ascribed to them in the CCPA.

 

Personal Information Collected

A. Identifiers such as a real name, alias, postal address, telephone or mobile contact number, unique personal identifier, online identifier, Internet Protocol address, email address and account name.

B. Personal information as defined in the California customer records law, such as name, contact information, education, employment, employment history and financial information.

C. Professional or employment-related information, such as job title as well as work history and experience in connection with job applications that you have made.

We collect this personal information in connection with any job application you have made, this data is only made available to the organisation and any appointed agents to whom the application was made

We do not share this personal information with any third parties or affiliates not directly involved in your application.

We may use this personal information to operate, manage, and maintain our business, and to perform accounting, audit, and other internal functions; comply with law, legal process, and internal policies; maintain records; exercise and defend legal claims; and fulfil legal obligations.

 

Personal Information Disclosed

We disclose data as described in 2 – A, B and C to the clients and agents of the job application to which you have responded.

We do not sell personal information to any third parties within the scope of the application of the CCPA.

 

Consumer Rights

You have the right to request that we disclose to you (i) the categories of personal information we collected about you and the categories of sources from which we collected such information; (ii) the specific pieces of personal information we collected about you; (iii) the business or commercial purpose for collecting personal information about you; and (iv) the categories of personal information about you that we shared with the clients and agents of the job application to which you have responded in the preceding 12 months. You also have the right to request that we delete personal information we collected from you subject to certain exceptions.

 

How to Make a Request

You may make a request for the disclosures or deletion described above by emailing the client who you made the application to or by emailing [email protected] who will be able to advise you further.

You may be required to submit proof of your identity for these requests to be processed as a verifiable consumer request. We may not be able to comply with your request if we are unable to confirm your identity or to connect the information you submit in your request with personal information in our possession. You may designate an authorized agent to make a request on your behalf subject to proof of identity and authorization.

We will respond to your request consistent with the CCPA, which does not apply to certain information, such as information made available from government records, and where its application is pre-empted by, or in conflict with, federal law or the United States or California Constitution.

We will update this CCPA Notice from time to time. Any changes will be posted on this page with an updated revision date.
